Where Automations Break Across Klaviyo, Gorgias, and Shopify
By Affan Siddiqi, Founder, Psycomaths
Klaviyo, Gorgias, and Shopify each hold a different piece of the customer picture, and automations across them break most often at the handoff points between tools, not inside any single tool itself. A support ticket that doesn't know about a recent email interaction, or an email flow that doesn't know a support ticket is already open, are both symptoms of the same underlying gap: the tools aren't sharing context in real time.
The handoff between tools is where automation actually breaks
Each platform works fine on its own. The failure point is almost always the moment information needs to move from one to another: an order event from Shopify needs to trigger the right Klaviyo flow, or a Klaviyo interaction needs to be visible to a Gorgias agent handling a related ticket. Gaps there, not inside any single tool, are the real source of broken automation.
Duplicate or conflicting messages are the most visible symptom
A customer who gets a Klaviyo win-back email the same day they're mid-conversation with support in Gorgias is seeing exactly this gap in action. The tools aren't aware of each other's active conversation with that customer, so automation fires on schedule regardless of what's actually happening elsewhere.
Order events need to reach every tool that depends on them
A cancelled or refunded order in Shopify needs to stop any in-flight Klaviyo flow tied to that order and update context visible in Gorgias. When that event doesn't propagate cleanly, a customer can receive a shipping-update email for an order they already cancelled, which looks careless even though each individual tool did exactly what it was told.
Fixing this is an integration project, not a settings change
Closing these gaps means deliberately mapping which events in one tool need to trigger or suppress actions in another, then building that connection, rather than assuming each platform's native integration already covers every real scenario out of the box. Most native integrations cover the basics; the edge cases are where the real work is.
